The challenge
Thousands of guests, parallel sessions, and photos nobody had time to sort
Charcha runs panels, sessions and exhibitions side by side, with senior business and political figures on stage and thousands of guests moving between halls. Photographers captured thousands of photos, far more than any guest would scroll through to find the handful they appear in.
The usual fixes don't work at this scale. Drive links are unbranded and hard to search, registration forms put off VIPs and walk-in guests, and sorting photos by hand takes days.
A photo on stage alongside a CEO or a political leader is worth the most on the day it's taken. After that, it usually just sits in a folder.
What Charcha 2026 needed
- Every guest finds their own photos in seconds, across every day and hall
- No sign-up or registration forms standing between guests and their photos
- An experience that looks and feels like Charcha, not a third-party tool
- Sponsor visibility on the photos guests actually keep and share
- Hard numbers on engagement for the post-event report and sponsors
- Room for unlimited photos and fast help during the live event
The solution
One Charcha-branded gallery, matched by face, with sponsors built in
FotoOwl set up an AI face-recognition gallery on Charcha's own domain, filled with photos as the event ran. Each need mapped to a FotoOwl feature.
Find yourself instantly
AI face-recognition gallery + QR
Guests scan a QR code, enter their name and take a selfie. FotoOwl returns every photo they appear in.
Brand-owned experience
Custom domain + white-label email
The gallery lives on Charcha's own web address, and emails go out under Charcha's name, not FotoOwl's.
Multi-day, high-volume coverage
Unlimited photo & video uploads
No caps on media, so every session, stall and stage moment can go into the gallery.
Value for sponsors
Sponsors, Marquee Frames, Hashtrack

Reports, analytics & download data

Priority support
A direct line to the FotoOwl team throughout the event, so issues are handled quickly.

The takeaway
Charcha 2026 showed that a large conclave doesn't have to choose between a polished guest experience and a lean event team. Guests got their own photos in seconds, sponsors got visibility that lasted beyond the venue, and the organisers got numbers they could report.
