Key Concepts

Understand how FotoOwl is structured before your first event — events, galleries, face recognition, QR codes, and more.

Events

An event is the fundamental unit in FotoOwl. Everything — photos, guests, QR codes, selling settings — lives inside an event.

When you create a new event, you're setting up a container for:

  • The photos from that shoot
  • The guest access settings
  • The features you want enabled (selling, Hashtrack, Beam, etc.)

Important: Some features — like Photo Selling and Hashtrack — must be enabled at the time of event creation. They cannot be turned on after the event is created. Always configure your event settings before you start uploading photos.

Each event gets its own QR code and shareable link. Guests scan or click this to access their personalized gallery.


Galleries

A gallery is what your guests see. It's the front-end of your event — branded with your logo, colors, and contact details.

FotoOwl galleries are:

  • Personalized — each guest sees only the photos they appear in
  • Branded — customized with your watermark, logo, and social handles
  • Secure — guests access them through face recognition, not an open folder
  • Shareable — accessible via QR code, link, or WhatsApp notification

You can fully customize the look and feel of your gallery using the Professional Gallery Designer. Think of it as your shop window — it should look as good as the photos inside it.


Face Recognition AI

This is the engine behind FotoOwl's personalization. When you upload photos to an event, FotoOwl's AI automatically scans every face in every image with 99.8% accuracy.

Here's how the guest experience works:

  1. Guest scans the event QR code
  2. They upload a selfie (no app download needed)
  3. FotoOwl matches their face across all event photos
  4. They instantly see a gallery of only the photos they appear in

This means a 500-person corporate event can have 500 different personalized galleries — all generated automatically, with zero manual sorting from you.

Face recognition also works across photos uploaded via Beam (live camera upload) and Guest Upload (crowd-sourced photos), so everything stays unified in one gallery.


QR Codes

Every event in FotoOwl has a unique QR code. This is the primary way guests access their gallery.

You can:

  • Print it on table cards, banners, or signage at the venue
  • Include it in digital invitations or WhatsApp messages
  • Display it on screens during the event

Guests scan it with their phone camera — no app required. It opens directly in their mobile browser.

FotoOwl also offers OneQR — a single permanent QR code that links to your entire portfolio of events. This is useful for business cards, your website, or photography exhibitions.


Photo Selling

FotoOwl lets photographers sell photos directly from their gallery. Guests browse their personalized gallery, see a photo they love, and can purchase and download it in a few taps — with payment handled seamlessly and funds going straight to the photographer.

A few things to know:

  • You need a paid FotoOwl plan to enable selling
  • You must set up your FotoOwl Store (bank account details) before activating this
  • Photo Selling must be enabled when the event is created — it cannot be added to an existing event

This is a meaningful revenue channel. One photographer earned ₹25,000 in a single day during a Navratri event using FotoOwl's photo selling feature.


Beam (Camera-to-Cloud)

Beam is FotoOwl's real-time photo upload feature. Instead of shooting on an SD card and uploading later, Beam lets photos travel from your camera directly to FotoOwl in under 30 seconds — while you're still shooting.

It works using the SFTP and FTP protocols built into professional cameras (Most of Canon, Nikon and Sony are supported). You configure your camera once with your FotoOwl credentials, and from that point on, every photo you take uploads automatically.

Combine Beam with Photo Selling and guests can purchase a photo of themselves within a minute of it being taken.

Beam requires a stable internet connection with at least 2–5 MB/s upload speed.


Guest Upload

Guest Upload lets event attendees contribute their own photos to the event gallery via QR code — no app download needed.

Guests scan, verify their number via WhatsApp OTP, and upload up to 50 photos from their phone. These photos enter a moderation queue — you review and approve them before they go live in the gallery.

This is the digital alternative to disposable cameras. It captures angles and candid moments that no professional photographer can physically be in two places to shoot.


ReelIt

ReelIt turns your event photos into ready-to-share short videos automatically. Instead of manually selecting clips and editing in separate tools, FotoOwl uses AI to generate personalized reels for each guest.

ReelIt is useful when you want faster social media delivery after weddings, sports events, and corporate activations. It helps you extend photo delivery into short-form content without adding manual editing workload.

Hashtrack

Hashtrack is a social media amplification tool that appears as a pop-up when a guest downloads a photo from the gallery.

It gives guests:

  • A one-click copy of all event hashtags
  • Direct buttons to share on Instagram, Facebook, or LinkedIn
  • On LinkedIn, the photo and caption are pre-filled automatically — guests just hit post

For event organizers with sponsors, Hashtrack is how you deliver on social media visibility promises. It turns every photo download into a potential branded post.

Like Photo Selling, Hashtrack must be enabled at event creation. It cannot be added to an existing event.


Watermarking

Every photo shared from a FotoOwl gallery can carry your automatic watermark — your logo, social handles, phone number, or website. This happens automatically across every image without any manual effort.

When guests download and share photos, your branding travels with them. Every Instagram post, WhatsApp forward, or Facebook share becomes a passive marketing touchpoint for your business.


Plans and Subscriptions

FotoOwl is a subscription-based platform. Different plans unlock different features and storage capacities.

Some features — like Photo Selling and Hashtrack — require a paid plan. Features like Beam are priced separately and bundled with the subscription.
